DeepDocs AI (“DeepDocs”, “we”, “us”) provides software that helps life-science teams extract, screen, assess and write from scientific literature. This policy describes how we process personal data on deepdocs.net, including the public website and the demo-booking flow. The product application at access.deepdocs.net is a separate service and may have additional terms.

Who we are

The controller of personal data collected through this website is DeepDocs AI. For privacy requests, contact us through the Intercom messenger on this site or via the details provided during a demo.

Data we collect

  • Contact and scheduling details you submit when booking a demo (name, email, company, meeting time).
  • Messages you send through Intercom customer chat.
  • Technical data such as IP address, browser type, pages viewed, and approximate location, generated by analytics tools if you allow them.
  • Cookie choices stored locally in your browser.

How we use data

We use this information to operate the website, answer enquiries, schedule product demonstrations, improve the site, and, where you have consented, measure usage. We do not sell personal data. DeepDocs is a research-workflow tool for professional users; we do not intend to process patient health records through this marketing site.

Legal bases (GDPR)

Where the GDPR applies, we rely on: (a) your consent for optional analytics and marketing technologies; (b) legitimate interests in operating a B2B website and responding to demo requests; and (c) performance of pre-contractual steps when you book a meeting.

Sharing

We share data with the processors named above solely to provide those functions. HubSpot processes demo bookings in the EU (EU1). Google, Microsoft, Intercom and YouTube (Google) may process data in the United States or other countries under their own terms and transfer mechanisms.

Retention

Demo enquiries are kept for as long as needed to handle the sales conversation and related follow-up. Analytics identifiers follow each vendor’s retention settings. Consent records stay in your browser until you clear site data.

Your rights

Depending on your location you may request access, correction, deletion, restriction, portability, or objection, and you may withdraw consent at any time. You may also lodge a complaint with a supervisory authority in the EEA, UK or Switzerland.

Children
